Plain-language summary: We are Orion AI LLC, a Florida company. When you visit this site or send us a message we collect what you give us plus basic technical data needed to run the site (IP, request logs, cookies set by third parties). If you request our free AI Visibility Check, we also store your contact details, analyze the website you enter with automated tools and AI services, email you the report and may follow up about the results. We use your data to respond to you and operate the site. We don't sell personal information. You have the right to ask what we hold and to have it deleted. 2. Information we collect

2.1 Information you provide

  • Contact form & email: name, email address, company name, the subject of inquiry, and the free-text content of your message. Submitting the form opens your local mail client; we receive only the email you choose to send.
  • AI Visibility Check: the website address you enter, your name, email address and (optionally) phone number, the date, time and wording of your consent, your browser's user agent and a one-way hash of your IP address (used only to prevent abuse — we do not store the IP address itself). We also store the results of the analysis of the website you entered, which is based on its publicly accessible content.

2.2 Information collected automatically

  • Server & CDN logs: IP address, user agent, requested URLs, timestamps, and approximate geographic location. Logs are generated by Cloudflare (CDN/edge) and our origin server.
  • Cookies and similar technologies: we ourselves do not set marketing or analytics cookies. Embedded third-party components (see Section 4) may set their own cookies in your browser.

3. How we use your information

  • Respond to inquiries you send us.
  • Run the AI Visibility Check you request, email you the report and contact you about the results (by email or, if you provided it, by phone).
  • Operate, secure, and improve the Site.
  • Comply with legal obligations and enforce our Terms of Service.
  • For visitors located in the European Economic Area or the United Kingdom: the legal bases under Articles 6(1)(a)–(f) GDPR are the performance of a contract or pre-contractual measures (when you contact us), your consent (Art. 6(1)(a) GDPR — for the AI Visibility Check and the follow-up about its results; you may withdraw it at any time with effect for the future) and our legitimate interest in operating a secure and functional website.

4. Third-party processors and embedded services

The Site relies on the following service providers, each acting as a data processor or independent controller for the technical functions described:

  • Cloudflare, Inc. — CDN, DNS, DDoS mitigation, TLS termination, server logs. See Cloudflare Privacy Policy.
  • OpenAI, L.L.C. — generative AI used to produce dynamic page content (e.g., contextual subline) and, for the AI Visibility Check, to analyze the website you entered and to answer test questions with web search. Only the website's content, business name and domain are sent — not your name, email or phone number. If OpenAI is unavailable, a language model on infrastructure operated by us may be used instead.   • HubSpot, Inc. — customer relationship management (CRM). Contact details and results from the AI Visibility Check are stored in our HubSpot account, which is hosted in HubSpot's EU data center. See HubSpot Privacy Policy.
  • Resend — delivery of transactional emails such as your AI Visibility report. See Resend Privacy Policy.
  • Google LLC — Google Maps embed on our Contact section may set cookies and load tiles from Google. See Google Privacy Policy.

5. We do not sell personal information

Orion AI LLC does not sell personal information and does not share personal information for cross-context behavioral advertising, as those terms are defined under the California Consumer Privacy Act of 2018, as amended ("CCPA/CPRA").

6. Data retention

  • Contact-form emails are retained for as long as needed to handle the inquiry and to maintain a reasonable customer-relationship record, and then deleted on request or per our internal retention schedule.
  • AI Visibility Check requests, reports and the related CRM record are retained for up to 24 months after our last contact with you, unless you ask us to delete them earlier or withdraw your consent.
  • Server and CDN logs are retained per our service providers' default retention windows (typically up to 30 days for raw edge logs).

7. Your rights

7.1 All visitors

You may contact us at [email protected] to access, correct, or delete personal information we hold about you, or to opt out of any future communications.

7.2 Florida residents

Orion AI LLC complies with the Florida Information Protection Act of 2014, Fla. Stat. §501.171, including its security and breach- notification requirements. Orion AI LLC is not a "controller" within the meaning of the Florida Digital Bill of Rights, §501.701 et seq., because it does not meet the statutory revenue threshold; we nevertheless honor good-faith requests to access or delete personal information.

7.3 California residents (CCPA/CPRA)

If you are a California resident you have the right to: (i) know what categories of personal information we collect and how we use them; (ii) request access to and a copy of your personal information; (iii) request deletion of your personal information; (iv) request correction of inaccurate personal information; and (v) opt out of any "sale" or "sharing" of personal information (we do neither). To exercise these rights, email [email protected] with "California Privacy Request" in the subject line. We will not discriminate against you for exercising these rights.

7.4 European Economic Area / United Kingdom (GDPR / UK GDPR)

If you are located in the EEA, the UK, or Switzerland, you have the rights of access, rectification, erasure, restriction, portability, and objection set out in Articles 15–22 GDPR. Where processing is based on consent, you may withdraw that consent at any time. You may also lodge a complaint with your local data-protection supervisory authority. Orion AI LLC processes data in the United States; data transfers from the EEA/UK rely on the EU–U.S. Data Privacy Framework and/or Standard Contractual Clauses with each sub-processor.

8. Security

Orion AI LLC implements administrative, technical and physical safeguards designed to protect personal information against unauthorized access, loss, misuse or alteration, consistent with Fla. Stat. §501.171(2). No method of transmission over the internet is fully secure, however, and we cannot guarantee absolute security.

9. Children's privacy

The Site is not directed to children under 13 and we do not knowingly collect personal information from anyone under 13. If you believe a child has provided us with personal information, please contact us at [email protected] and we will delete it.

10. Changes to this policy

We may update this Privacy Policy from time to time. The "Last updated" date above reflects the latest material revision. We encourage you to review this page periodically.
